1. About these terms
These terms are the agreement between Teddys Ventures Limited (company number 17175500), registered office Suite 6, The Workshop, Wharf Road, Eastbourne, East Sussex, BN21 3FG ("we", "us") and the care home business that signs up for Platewell ("you"). By creating an account, or by using Platewell, you agree to them on behalf of your business. Platewell is for businesses, not consumers.
2. What Platewell is
Platewell is online software that helps care home kitchens record residents' meal choices, print menus, kitchen sheets and labels, plan orders, keep track of stock and see food costs. We may improve and change features over time. If we remove a feature that is central to how you use Platewell, we will give you at least 30 days' notice.
3. Your account
- Give us accurate information and keep your login details safe. You are responsible for everything done through your account, including by your staff.
- You can give team members their own login and choose which pages they see. You are responsible for who you invite, and for removing people who no longer work for you. Walk-round links let anyone with the link record meal choices, so only share them with your staff and switch them off when they are no longer needed.
- Tell us straight away at hello@platewell.co.uk if you think someone has used your account without permission.
- Only add people to your account who you are happy to give access to your residents' information.
4. Free trial
New care homes get a 14-day free trial. When you sign up you choose a plan and add your payment details, but nothing is taken during the trial. If you cancel before the trial ends (email hello@platewell.co.uk) you won't be charged. Otherwise your first payment is taken when the trial ends. If a subscription ends, your account is paused, and deleted 30 days later unless you ask us to keep it.
5. Plans, prices and payment
- Monthly plan: £99.99 a month, with a one-month minimum. It renews each month until you cancel.
- Yearly plan: £990 a year, paid in advance. It renews each year until you cancel.
- Introductory offer (half price for your first year): £49.99 a month with a 12-month minimum term, or £500 for the first year paid in advance. The first payment is taken when your free trial ends. After the first 12 months your plan moves to the standard price (£99.99 a month or £990 a year), and we'll email you at least 30 days before it changes.
- Done-for-you setup: a one-off £250 if you'd like us to set up your residents, dishes and menu.
- Add-ons (such as Food Safety, when available) are charged at the price shown when you switch them on.
- You pay by card (through Stripe) or Direct Debit (through GoCardless). If a payment fails, we will let you know and may pause your account if it is not paid within 14 days.
- We may change our prices with at least 30 days' notice. Changes apply from your next renewal, and never during a minimum term you've already agreed.
6. Cancelling
- Monthly plan: cancel at any time by emailing hello@platewell.co.uk. Platewell stays available until the end of the month you have paid for, and you won't be charged again.
- Yearly plan and introductory offer: you can cancel so that it doesn't renew. Payments for a year or minimum term you've already started are not refundable, except where the law says otherwise or we have broken these terms.
- Before you leave, you can download a copy of your data from Settings. We delete your data within 30 days of your account closing.
7. Allergens, diets and food safety: please read
Platewell is a tool to help your kitchen. It does not replace your own checks, training, procedures or professional judgement.
- Platewell works out allergens, textures, diets and costs only from the information you enter, such as ingredients, recipes and residents' needs. If that information is wrong or out of date, Platewell's results will be too. You must keep it accurate, and check supplier labels when products or recipes change.
- Your staff must still check every meal, label and allergen against residents' needs before serving. Greyed-out or warning messages are an aid, not a guarantee.
- You remain fully responsible for food safety, allergen management, IDDSI texture modification, nutrition and hydration, and for meeting the requirements of the Food Standards Agency, your local authority, the CQC (or equivalent regulator) and any other law that applies to you.
- Keep a way to carry on if Platewell is unavailable, for example printed menus and the latest kitchen sheet.
8. Your residents' information
You own the information you put into Platewell. You are the controller of your residents' personal information and we process it for you under our data processing terms, which form part of this agreement. You confirm you have the right to give us this information and to let us process it to provide Platewell.
9. Fair use
You must not: misuse or try to break into Platewell or other customers' accounts; upload anything unlawful or harmful; resell Platewell; or copy or reverse-engineer the software. We may suspend an account that breaks this rule, and will tell you why.
10. Availability and support
We work hard to keep Platewell running and to fix problems quickly, but we can't promise it will always be available or free of errors. We may need to take it offline briefly for maintenance, and will try to do this outside normal kitchen hours. Support is by email at hello@platewell.co.uk, and we aim to reply within one working day.
11. Our responsibility to you
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
- Otherwise, we are not responsible for: loss of profit, revenue or business; indirect or consequential losses; losses caused by inaccurate information entered into Platewell; or decisions made without the checks described in section 7.
- Our total liability to you in any 12-month period is limited to the amount you paid us for Platewell in that period.
12. Ending this agreement
Either of us can end this agreement if the other seriously breaks it and doesn't put it right within 14 days of being asked, or becomes insolvent. When it ends, your access stops and we delete your data as described in section 6.
13. Changes to these terms
We may update these terms. We'll give you at least 30 days' notice of important changes by email or in the app. If you don't agree, you can cancel before they take effect.
14. General
These terms, with our data processing terms and any order or offer we confirm in writing, are the whole agreement between us. If any part is found unenforceable, the rest still applies. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
